BS3MD PLLC, doing business as AletheosMD (“we,” “us,” “our”), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit https://aletheosmd.com (the “Site”) or interact with our marketing communications.

This policy covers website and marketing data only. If you become a patient of AletheosMD, your medical records are governed by our Notice of Confidentiality Practices, provided at intake, and are protected by federal confidentiality law (42 C.F.R. Part 2). Patient records are maintained exclusively in our secure medical record system. They are never stored in our marketing systems and never used for advertising.

Please do not submit health information through this Site. Our forms are intentionally limited to contact and scheduling information. Health information is collected only within our secure medical record system after you become a patient.

1. INFORMATION WE COLLECT

    Contact information you provide: name, email address, phone number.

    Scheduling information if you book an introductory call.

    Usage information collected automatically: IP address, browser and device type, pages visited, time on Site, and identifiers set by cookies and similar technologies (see Section 5).

    Marketing preferences: your email and SMS opt-ins and opt-outs.

    Payment information is not collected through this Site. Client payments are processed within our secure practice systems.

We do not collect health information through this Site, and we ask that you not include it in any form or message sent through the Site.

3. HOW WE SHARE INFORMATION

We do not sell your personal information. We share information in two distinct ways:

Service providers acting on our behalf, under confidentiality obligations, solely to perform functions for us: website hosting, our customer relationship platform (HighLevel), email delivery, SMS delivery, and cloud infrastructure. These providers may use your information only to provide services to us.

Advertising measurement partners, as described in Section 4. This sharing is limited, disclosed here, and subject to the choices described in Sections 4 and 5.

4. ADVERTISING MEASUREMENT

We advertise on platforms such as Meta (Facebook/Instagram) and Google. To measure whether our advertising works, we may share limited data with these platforms:

    What we share: hashed (encoded) versions of the contact information you submit in a lead form (such as email or phone number), along with standard browser and device identifiers, associated only with top-of-funnel events such as visiting the Site or submitting a contact form.

    What we never share: health information of any kind; anything you tell us on a call; the fact that anyone has booked a medical evaluation, become a patient, or paid for services. We do not upload contact lists to advertising platforms, and we do not build “custom,” “lookalike,” or retargeting audiences from the people in our systems.

    Why: this measurement data lets the platforms tell us which advertisements resulted in inquiries, so we can spend advertising dollars efficiently. It is used for measurement and optimization of our own campaigns.

Your choices: you can decline advertising cookies via our cookie banner (Section 5), opt out of advertising measurement entirely by contacting us at [email protected], and use the ad-preference controls offered by Meta and Google. We honor opt-out requests for future events; we cannot recall data already processed by a platform.

5. COOKIES AND TRACKING TECHNOLOGIES

The Site uses:

    Essential cookies — required for the Site to function (no consent needed).

    Analytics cookies — help us understand Site usage in aggregate.

    Advertising cookies and pixels — including the Meta pixel and Google tags, which support the measurement described in Section 4.

On your first visit you will be asked to accept or decline non-essential cookies. You can change your choice at any time via the cookie settings link in the Site footer, and you can also control cookies through your browser. We honor the Global Privacy Control (GPC) browser signal as an opt-out of advertising cookies where required by law. Declining advertising cookies does not affect your ability to use the Site or contact us.

6. SMS/TEXT MESSAGE PRIVACY

If you opt in to receive SMS from us: your opt-in data and consent are not shared with third parties except the vendors necessary to deliver the messages; your mobile number is not sold or shared for others' promotional purposes; messages are limited to the purposes you agreed to; and message content will never reference the nature of our services. Opt out at any time by replying STOP. Message and data rates may apply; frequency varies.

7. DATA SECURITY AND RETENTION

We use appropriate technical and organizational safeguards for the information described in this policy. Marketing contact records are retained only as long as needed for the purposes above; records of individuals who become patients are promptly removed from marketing systems and maintained solely in our medical record system under our Notice of Confidentiality Practices. No internet transmission is completely secure, and we cannot guarantee absolute security of website data.

8. YOUR RIGHTS AND CHOICES

Depending on your state of residence, you may have the right to: access or obtain a copy of your personal data; correct or delete it; opt out of targeted advertising; and withdraw consent you have previously given. Residents of Texas and other states with comprehensive privacy laws may have additional specific rights. To exercise any right, email [email protected]; we will verify and respond as required by applicable law, and we will not discriminate against you for exercising your rights. You may also designate an authorized agent where your state's law permits.

9. AGE

This Site and our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If we learn we have done so, we will delete it promptly.

10. THIRD-PARTY LINKS

The Site may link to third-party websites. Their privacy practices are their own; review their policies.

11. CHANGES TO THIS POLICY

We may update this policy from time to time. Material changes will be posted here with a new effective date. Changes to the advertising-measurement practices in Section 4 will be reflected here before they take effect.
